Introduction

The "Third Parties" module allows to manage entities customers, prospects and / or suppliers (called Tiers). This module is a pre-requisite for many other modules that are based on these concepts (invoices, orders, contracts, proposals, etc. ...).

A corporation is a business entity: customer, prospect or supplier (Example: An LLC, a trade association, an individual). The contact in turn represents an individual or a generic contact / individual of a corporation (Example: CEO of the LLC or worker, dealer principal of Trade, president or treasurer of the association).

Dolibarr operates the same way for the third and businesses. Also, for individuals, a "Contact " contains the same features as the object "Company".

Installation

This module is included with the Dolibarr distribution, so there is no need to install it.

Configuration

To use this module, you must first enable it using an administrator account, via the menu option "Home - Setup - Modules".

Choose the tab where the module is listed. Then click on "Activate".

The module is now activated.

If a cog icon appears Cog circle.svg on module thumb or at end of the line of the module, click on it to access the setup page specific to the module. Description of setup of third party module is available on page Module Third Parties setup.

Create a new third party

Click the tab 'Third parties' and then under the menus 'Third party' choose 'New customer' (Third parties->Third party->New customer). Input all information (fill only mandatory fields if you want).

Once third party is created, you can add some Notes, and add linked files using corresponding tabs.

Modify a third party

Go into menu third party, click on name of third party to modify.

Click on button "Edit" (right bottom). Type all changes.

Click on button "Save".

Delete a third party

Go on third party card and click on button "Delete". Only a third party that has no linked objects (invoices, contracts, orders, etc) can be deleted.

Create a contact

There are several ways to create contacts/addresses

  • Go to menu Third Parties - Contacts/Addresses - New contact/address. Enter the requested information (you do not have to complete all fields). This will create a contact that can not be linked to third.
  • On third, go to the customer or supplier tab and click on "Create Contact ". Enter the requested information (you do not have to complete all fields). This will create a contact linked to third.

Edit Contact

Go to menu Third Parties - Contacts/Addresses - List, click the contact to edit and select the tab sheet or personal info.

Click "Edit" (bottom right).

Enter the changes.

Click "Save".

Delete Contact

Go to contact and click 'Delete'

Life cycle / Business rules

A third party has only two state: Active Or Inactive. A deleted third party does not change its state, but disappears completely from Dolibarr.

You can create 1 or more physical contact or addresses into a Third party (they will be then used as contacts to send emails for commercial proposals, customer orders, customer invoices, etc...).

Examples of use cases

Actions Go on menu Third party -> New third party -> Input all data and click on Create.
