Welcome to this video tutorial about the Dolibarr ERP and CRM system. In this video, we will look at how to work with the Users, Groups and Permissions module. | Animate the video title with special effects. The "Users and Groups" module allows you to create and manage users on the Dolibarr system. In most cases, it would be the employees but it can also be external user account for your bookkeeper or other partners. Your employees can also login to the system and manage their account, activity and holidays and a lot of other things depending on other applications you enabled. Let's see the common features. | Show the "Users and Groups" module and click on the various menu options to show the screens. |
There are two user flows to the "Users and Groups" module – one as the employer or administrator and the other as the employee or external user. | Show the login screen. |

Let us first look at the administrator or employer user flow. Login with an account that has administrator access. | Show login with admin account. |
Click on the 'Users and Groups' menu to access the user module. Click on 'List of Users' to review the list of existing employees or users. | Click the appropriate menu items and show the screens. |
The “Hierarchical View” gives a birds eye view of the employee hierarchy in the organisation. | Show the hierarchy view. Click on the “+” buttons to expand and show the nested hierarchy. |
Title Slide: Creating an Employee or User | |
Click on 'New User' to add a new employee – an internal user in your organisation - to the system. Fill out the required fields. You can choose whether the user is an employee and also pick a supervisor to set the hierarchy for managing the user's leave requests and expense reports. Fill in additional job details such as remuneration and weekly work hours.
If the user is an external user, for example a customer or a provider, you can set the property "External user" so user will only see information related to its account: User will see only its invoices, orders, proposals, etc, and not the other record. Except if you give him permission to see all, for example for your external bookkeeper. |
Show the user creation process, choosing of supervisor, insisting on the "internal or external user" flag, and filling in of the job details.
Show also how to fill optionally bank information of the employee. |
Title slide: Access Control & Permissions | |
Note that administrators are able to configure access control permissions for modules and module actions. For example, here are the list of actions available for access configuration with respect to the Expense Reports and Leave Request Management modules. This also applies to all other modules in the Dolibarr system. | As an administrator, show the permissions for these two modules after navigating to Permissions under the user card.

Title Slide: Employee applying for Leave | |
Once created and permissions defined, the employee can login to the system, and depending on permissions granted to him, can edit or not its information. | Show the newly created user logging in.
Show how user can set its own email signature. |
If the application "Leave" has been enabled, you can click on the HRM tab menu to view the leave balance. | Click the menu and highlight the leave balance. |
Click on “New” to apply for leave. Fill in the appropriate fields and click on “Create Leave Request”. | Show applying for leave. |
The appropriate supervisor as per the hierarchy will now be able to login and approve or reject the leave request. | Show the supervisor being able to approve or reject the leave application. |
The “Monthly statement” gives a statistical view of the leave taken by employees in any given month. | Show the monthly report. |
Change logs capture and provide details of any changes made to the leave balance of any employee. | Show change logs. |
Title slide: Expense Reports | |
If the module Expense reports has been enabled, Expense reports can be created from the respected menu. Expense reports thus created can be approved or rejected by the appropriate supervisor | Show an expense report being created by the employee. |
The list of expense reports can be reviewed based on the status of each report such as Draft, Validated, Approved, Paid, Canceled and Refused. | Show the list view based on each status. |
Statistics gives a graphical birds eye view of the expense reports pertaining to an employee. | Show the statistics. |
Title slide: Timesheets | |
If the module "Project and timesheets" has been enabled, Timesheets can be entered from the “Time Spent” menu. | Click the menu. |
If you are an employee, assign a particular task to yourself if your supervisor hasn't already assigned it to you. | Show assigning a task to self. |
Once a task is assigned, you will be able to enter hours for the task on a monthly, weekly or daily basis. | Click on the appropriate tab menus such as “Input per month” etc. |
