Features

GestSuite AssetFlow is an asset and equipment management module for Dolibarr. It tracks every piece of equipment (laptops, vehicles, generators, tools, furniture, PPE...) throughout its lifecycle: where it is, who is using it, what condition it is in and what it costs.

Main features:

QR Code identification: unique reference and QR Code per asset, printable labels in A4 (e.g. Avery L7163) and thermal formats.
Asset search: by reference, serial number, QR Code, label, location or assigned user.
Offline mobile application: scan, search, assign, record returns, report incidents and capture photos without connectivity, then synchronize later.
Mobile inventory: inventory campaigns by perimeter, location, asset type and period, with detection of missing, misplaced, out-of-perimeter or condition-changed assets.
Assignments and returns: user, date, condition at handover, comments, beneficiary signature and full history.
Preventive maintenance: plans based on mileage, operating hours or time intervals, with upcoming and overdue interventions.
Reservations: calendar with statuses (pending approval, reserved, checked out, overdue, returned).
Deadlines and alerts: warranty expirations, maintenance and return deadlines.
Total Cost of Ownership: purchase value, maintenance, fuel, consumables and incident costs, analysed by asset type.
Dashboard: active assets, total value, assignment rate, overdue maintenance, open incidents, late returns, pending reservations and synchronization conflicts.

Installation

Download the module archive (.zip) from [URL_DE_LA_FICHE_DOLISTORE DoliStore].
In Dolibarr, go to Home - Setup - Modules - Deploy/install external app/module and upload the archive.
Alternatively, unzip the archive into the custom directory of your Dolibarr installation.

Configuration

To use this module, you must first enable it using an administrator account, via the menu option "Home - Setup - Modules".

Choose the tab where the module is listed. Then click on "Activate".

The module is now activated.

If a cog icon appears on module thumb or at end of the line of the module, click on it to access the setup page specific to the module.

The setup page of the module lets you define:

General module parameters and asset managers
Asset types and locations
QR Code settings and public QR Code pages
Label formats (A4 sheets, thermal labels)
Inventory settings
Mobile synchronization

Usage

Registering assets

Create an asset with its type, reference, serial number, location and purchase value. A QR Code is generated for each asset and can be printed as a label.

Finding an asset

Use the Find an Asset entry to locate equipment by reference, serial number or QR Code.

Assigning and returning equipment

From the asset card, assign the equipment to a user, record its condition at handover and collect the beneficiary signature (or upload a signed paper document). Record the return when the equipment comes back. The assignment history is kept on the asset.

Running an inventory

Create an inventory campaign (perimeter, location, asset types, period), then scan assets from the mobile application. Progress is shown in real time and manual entry is possible when scanning is not available. The inventory can be carried out offline and synchronized afterwards.

Maintenance

Create maintenance plans per asset or asset type (for example: oil and filter change every 5,000 km). The module lists upcoming and overdue interventions with the current counter and estimated cost.

Reservations

Book equipment from the reservation calendar and follow each reservation from approval to return.

Costs and dashboard

The dashboard gives an overview of the asset portfolio, deadlines and alerts. The Total Cost of Ownership view consolidates costs per asset and per asset type.
