DoliLocation adds a complete rental operation to Dolibarr: rentable catalogue, availability engine, rental files, deliveries and collections, condition reports, deposits and damage handling. It drives Dolibarr's native documents rather than replacing them. Version 1.0.3 ships 166 files (94 in PHP), 45 screens, 30 tables, 10 permissions and 725 translation keys per language, in 5 languages (French, English, German, Spanish, Italian). Publisher: KSI 30 (KSIDol.io). Licence: GPL v3.
10 preset trades
- Construction plant and site equipment
- Events and hospitality
- Vehicles
- Audiovisual, sound and lighting
- Light mobility (bicycles, scooters)
- Venues and spaces
- Trailers and light commercial vehicles
- Medical and paramedical equipment
- IT and office equipment
- Linen, tableware and light catering
These ten presets are a starting point, not a limit: the 18 capabilities combine freely, adapting DoliLocation to well over ten ways of renting things out.
Availability engine and pricing
- Half-open intervals: a return and a departure can follow one another on the same day.
- Preparation and refurbishment lead times are included in the calculation.
- Temporary holds expire by themselves.
- Transactional confirmation: two simultaneous confirmations cannot overbook the same capacity.
- Pricing by durations, tiers and seasons, with a pricing snapshot frozen on the contract: a later rate change no longer alters a committed file.
- Measured performance: 1,000 fleet units and 1,000 confirmed rental files.
The module lives inside Dolibarr: 8 built-in tabs
- Product file, "Rental" tab — makes the item rentable, sets its time unit and minimum duration, shows its rental history; the existing catalogue becomes the rental fleet, with no parallel list.
- Third party file, "Rentals" tab — all files for that customer, current and past; one click answers what the customer has out today and had before.
- Quote, "Rental" tab — the periods carried by the lines, with the electronic signature from the Dolibarr core, timestamped and archived; the agreement stays attached to the document that was priced.
- Order, "Rental" tab — the rental file backed onto the native order, with no double entry.
- Shipment, "Rental" tab — delivery of the equipment and its collection, read by the crew on the shipment they already handle.
- Warehouse, "Rental" tab — what the depot holds and what has left it, so a stock count stops being guesswork.
- User, "Rental" tab — what a staff member is responsible for, making handovers traceable.
- Project, "Rental" tab — the files attached to the site or event, so a job's result includes the equipment it consumed.
6 printable document templates
Six templates. The condition report is a single template used on departure and on return.
- Rental contract
- Out-and-return note
- Condition report (departure and return)
- Damage report
- Deposit acknowledgement
- Run sheet
18 capabilities you switch on
Set automatically with the chosen trade, then adjustable one by one: preliminary quote, site or event file, delivery and collection, runs, individually identified units, meters (mileage, hours), departure and return condition reports, security deposit, damage and deductions, insurance, insurance excess, fuel and consumables, cleaning and hygiene, licences and certifications, subletting, counter till, public mini-site, shop channels.
Included
One offer at €425 excl. VAT: the module in 5 languages, the 6 document templates, the 3 scheduled jobs (release expired holds, retry failed channel deliveries, check the integrity of the rental operations log), counter identification of an item from a scanned code (barcode, serial number), logistics and runs, public booking mini-site, channel layer, REST API, and an append-only operations log with a chain of fingerprints. The WooCommerce (WordPress) and PrestaShop 8 connectors are included at no extra cost and delivered as separate packages. Native documents created: quotes, orders, projects, and shipments in draft (no unintended stock movement). Serial numbers rely on Dolibarr's native lots and serials.
Not included
- The deposit is recorded, not charged: no accounting entry without a justified deduction, and no card payment or pre-authorisation.
- Shipments stay in draft until you confirm them.
- MariaDB 10.11 is the only database engine tested.
- PHP outside 8.1 to 8.3 is not covered at runtime.
- The connectors are installed separately on the WordPress or PrestaShop site.
