Mikrosha2000: Updated LabQC Pro documentation for v1.1.0: redesigned interface, QC workflows, CAPA/BatchSafe integrations, CoA/OOS reports, security improvements and new screenshots.

LabQC Pro is a laboratory quality-control module for Dolibarr that manages analytical specifications, QC testing, automatic PASS / FAIL evaluation, controlled approval, result locking, audit history and laboratory reporting.

It is intended for laboratories, manufacturers, pharmaceutical and food businesses, and other organizations that require traceable quality decisions for products and batches/lots.

The module can be used independently or with optional BatchSafe Pro and CAPA & Deviation Manager integrations.

Overview
LabQC Pro provides a structured workflow within Dolibarr:

QC Specification → QC Test → Analytical Results → Automatic PASS / FAIL → QC Manager Finalization → CoA / OOS Report

If optional integrations are enabled, finalized QC outcomes can also support batch-status management and CAPA/deviation follow-up.

QC Specifications
QC Specifications define the quality requirements for a Dolibarr product. Each specification includes a reference, label, version and status, and may contain several analytical parameters.

Specification details
A specification stores its associated product and version, along with a description and status. These details identify the acceptance criteria selected for testing.

Analytical parameters
Analytical parameters define the method, criterion type, minimum and maximum limits or required text, measurement unit and mandatory/optional status.

Example:

Parameter
Method
Acceptance criterion
Mandatory
Assay
HPLC
98–102 %
Yes
Appearance
Visual
White tablets
Yes
pH
Potentiometric
5–7 pH
Yes

The values above are examples only; each organization must define and approve its own analytical methods and specifications.

QC Tests
Each QC Test is associated with a Dolibarr product, an applicable QC specification and a batch/lot. Users can enter a test date, reference and notes.

A QC test can hold multiple analytical results. Each result is evaluated against its applicable acceptance criterion.

Automatic evaluation
*PASS: the required analytical results satisfy the selected criteria.
*FAIL / OOS: at least one required analytical result does not satisfy the selected criteria.
*Incomplete: mandatory results have not all been provided; the test is not ready for finalization.

Users with analytical-result permissions can save results and recalculate the verdict while the QC test remains open.

Finalization, locking and deviation follow-up
An authorized QC Manager can finalize a complete QC test. The operation records the final verdict, responsible user and timestamp, and locks the results against ordinary editing.

For finalized FAIL / OOS tests, the interface can show a link to a related CAPA/deviation record or an action to create one when the optional CAPA module is installed.

Analytical results and traceability
The detailed QC test screen presents each analytical parameter, method, specification, measured result and PASS / FAIL verdict. Finalized records are displayed as read-only.

Certificates of Analysis and OOS Reports
Reports are available for finalized QC tests:

*Certificate of Analysis (CoA): generated for a finalized PASS test.
*OOS / QC Test Report: generated for a finalized FAIL test.

The reports identify the product, batch/lot, QC specification, results and acceptance criteria, final decision and recorded approval information.

Sample PDF layouts
The following image illustrates the two PDF report types generated by LabQC Pro.

Recorded approval details are not represented as a certified cryptographic electronic signature.

Audit Trail
LabQC Pro records important actions associated with QC tests, including:

*Creation of a QC test
*Entry or modification of analytical results
*Recalculation of the QC test status
*Finalization and locking

The audit history displays event time, QC test, action, related object, user, previous value, new value and a note where applicable.

The application audit history supports traceability. Organizations remain responsible for database access controls, backups, retention and any applicable compliance validation.

User permissions and recommended roles
LabQC Pro provides separate permissions for reading QC information, managing specifications, creating tests, entering results, finalization, reporting and Audit Trail access.

Permission
Laboratory Analyst (example)
QC Manager (example)
Read LabQC Pro quality control data
Yes
Yes
Create or modify QC specifications and analytical parameters
No
No
Create QC tests
Yes
No
Enter or modify analytical results
Yes
No
Finalize and approve QC tests
No
Yes
Generate Certificate of Analysis or OOS reports
No
Yes
View LabQC Pro audit trail
Yes
Yes

These are suggested role settings. Adjust actual Dolibarr permissions to match organizational responsibilities and review group-inherited rights.

Optional integrations
BatchSafe Pro
When BatchSafe Pro is installed and enabled, QC events can influence the batch/lot quality status, subject to the configured workflow and safeguards.

LabQC event
Typical BatchSafe outcome
New QC test opened
Under inspection
Finalized PASS
Released, where no higher-priority hold or restriction prevents release
Finalized FAIL / OOS
Rejected

Important: an existing manual hold, recall or rejection is not automatically cancelled by a later PASS result. The current lot status may therefore reflect another QC test or a manually imposed restriction.

CAPA & Deviation Manager
A finalized FAIL / OOS result can initiate a linked deviation. The prefilled deviation can include the QC test reference, product, batch/lot and specification details. After a deviation is created, the QC test provides a link to the existing record.

Both integrations are optional; LabQC Pro can run independently.

Installation and configuration
Requirements
*Dolibarr V18–V24 (range declared on the DoliStore listing)
*PHP 7.4 or later (minimum declared on the DoliStore listing)
*Dolibarr Products and Stock modules
*Lot/Serial management for batch-based QC workflows

The main functional validation of version 1.1.0 was performed on Dolibarr 24. Earlier supported versions and all hosting combinations were not comprehensively retested during this release.

New installation
#Download the LabQC Pro ZIP package from DoliStore.
#In Dolibarr, open the setup area for modules/applications and external module installation.
#Upload the ZIP archive and enable LabQC Pro.
#Configure user permissions.
#Enable and configure product lot/serial management if batch-based QC is required.
#Create or select a product and define its QC specification and analytical parameters.
#Create a QC test, enter results, review PASS / FAIL and finalize using an authorized account.
#Generate the corresponding CoA or OOS PDF report.

Updating an existing installation
Version 1.1.0 retains module identifier 207603 and the established permission identifiers. Its declared database table definitions do not require a dedicated schema migration from the compared 1.0.43 package.

Before updating, back up the Dolibarr database and the existing module files, then deploy the new files following standard Dolibarr external-module procedures. Verify that existing specifications, tests, results, approvals, audit records and documents remain accessible.

A direct end-to-end upgrade from the previously distributed 1.0.43 package to 1.1.0 on a populated installation was not performed as part of the final release checks. Test the upgrade on a backup or staging copy if your organization requires validated change control.

Language support
*English
*Romanian

Regulatory and quality notice
LabQC Pro provides software functionality for laboratory quality-control workflows. It has not been independently certified as compliant with GMP, GLP, GxP, FDA 21 CFR Part 11 or other regulatory standards. Validation, qualification, procedural controls, electronic-signature requirements and regulatory compliance remain the responsibility of the organization implementing the module.

Mikrosha2000: Updated SOP & Document Control Pro documentation for v1.1.0: workflow, permissions, training, reports, configuration, responsive UI, screenshots and upgrade instructions.

SOP & Document Control Pro is a Dolibarr module for controlled SOP and document lifecycle management.

It provides structured document creation, review, approval, controlled revisions, employee training acknowledgements, notifications, workflow history, QR access to the current effective revision and PDF reporting.

The module is designed for laboratories, pharmaceutical, cosmetic, food, manufacturing and other quality-controlled organizations that require traceable document management and separation of responsibilities.

Main features
* Controlled SOP and document lifecycle management
* Automatic document references
* Configurable document reference pattern
* Draft, Review, Approval, Effective and Obsolete document states
* Role-based Author, Reviewer and Approver permissions
* Controlled document revisions
* Revision reason and change summary
* Workflow history and traceability
* Controlled Effective Version management
* QR access to the current Effective revision
* Review due-date monitoring
* Review overdue alerts
* Employee training assignments
* Read & Understood acknowledgement
* Training due dates and completion tracking
* Pending, Overdue, Completed and Superseded training statuses
* Internal notifications
* Optional e-mail notifications
* Master Document List
* Training Status Report
* Individual document PDF export
* PDF report generation
* Dedicated module configuration
* Responsive desktop and mobile interface

Document lifecycle
The module implements the following controlled workflow:

Draft → Pending Review → Pending Approval → Approved → Effective → Obsolete

Each stage is protected by dedicated permissions.

A document can be returned to Draft during Review or Approval when corrections are required.

Only authorized users can perform workflow actions corresponding to their role.

Controlled Effective Version
When a document becomes Effective, the module creates a controlled Effective revision.

The Effective revision includes:

* document reference;
* version;
* effective date;
* next review date;
* controlled revision information;
* QR access to the current Effective document.

The QR code allows authorized users to access the current controlled revision without relying on obsolete printed copies or outdated document links.

Workflow history and traceability
Each important document lifecycle action is recorded in the workflow history.

The history can show:

* document creation;
* submission for review;
* review approval;
* rejection to Draft;
* approval;
* transition to Effective;
* transition to Obsolete;
* responsible user;
* date and time;
* status transition.

Historical actor display information can also be preserved when old Dolibarr user accounts have been deleted or recreated.

Training management
Effective document revisions can be assigned to Dolibarr users for training and acknowledgement.

Training records include:

* controlled revision;
* assigned user;
* assignment date;
* due date;
* training status;
* acknowledgement date;
* e-mail delivery status.

Users can acknowledge training using the I HAVE READ AND UNDERSTOOD action.

Training assignments remain linked to the controlled document revision against which they were issued.

Training statuses
The module tracks the following training states:

* Pending
* Overdue
* Completed
* Superseded

When a controlled document revision is replaced, historical training records can remain visible for traceability.

Notifications
The module provides internal notifications for document and training events.

Optional e-mail copies can also be enabled through module configuration.

Notification information includes delivery status so administrators can identify cases where:

* an e-mail was sent;
* delivery failed;
* no e-mail address was available;
* no e-mail was sent.

Reports
Master Document List
The Master Document List provides a centralized overview of controlled documents.

Typical information includes:

* document reference;
* title;
* document type;
* current version;
* current status;
* effective date;
* next review date.

The report can also be exported to PDF.

Training Status Report
The Training Status Report provides an overview of current and historical document training assignments.

The report includes KPI indicators for:

* Pending;
* Overdue;
* Completed;
* Superseded.

It also provides detailed assignment information for each user and document revision.

A PDF version of the Training Status Report is also available.

Role-based permissions
SOP & Document Control Pro provides separate permissions for different responsibilities.

Available permissions are:

* Read SOP documents
* Create and modify Draft documents
* Review documents
* Approve documents
* Manage training acknowledgements
* View reports
* Administer SOP Document Control Pro

This permission model allows organizations to separate responsibilities between Authors, Reviewers, Approvers, Training Managers, Report users and Module Administrators.

A user with module administration permission can access the module configuration without requiring global Dolibarr administrator rights.

Configuration
The module Configuration page allows authorized administrators to define settings including:

* document reference pattern;
* default review interval;
* default training due interval;
* review due warning window;
* training due warning window;
* internal notifications;
* e-mail notification copies;
* historical workflow actor display mapping.

Responsive interface
The module is designed for use on desktop computers, tablets and mobile devices.

Document information, controlled revisions, QR access, notifications and workflow information adapt to smaller screens.
</gallery>

Installation
# Download the SOP & Document Control Pro package.
# Back up the Dolibarr database before upgrading an existing installation.
# Install or extract the module into the Dolibarr custom modules directory.
# Open Home → Setup → Modules/Applications.
# Open the module Configuration page.
# Configure the required module parameters.
# Assign the required permissions to users or user groups.

Upgrade from previous versions
Upgrade from 1.0.71
Replace the existing module files with version 1.1.0.

No module deactivate/reactivate cycle is required when upgrading directly from 1.0.71.

Upgrade from an earlier 1.0.x version
When upgrading from a version earlier than 1.0.71:

# Back up the Dolibarr database and the existing module directory.
# Replace the module files with version 1.1.0.
# Disable and re-enable the module once so Dolibarr refreshes menus and permission definitions.
# Review user and group permissions.
# Verify the document workflow and Training functions before returning the module to normal production use.

Upgrade from 1.0.36 or earlier
Version 1.0.37 migrated the module to the reserved Dolibarr module ID:

210133

Current permission IDs are:

* 21013301 – Read SOP documents
* 21013302 – Create and modify Draft documents
* 21013303 – Review documents
* 21013304 – Approve documents
* 21013306 – View reports
* 21013307 – Administer SOP Document Control Pro

Existing installations from version 1.0.36 or earlier should follow the module-ID migration instructions included in the module package.

The document, revision, training, notification and audit tables are preserved during the migration.

Requirements
* Dolibarr: 24.x

Training management
Training records can be created and assigned directly from Dolibarr.

Each training record can include:

* Training title
* Training type
* Employee
* Training provider
* Due date
* Completion date
* Workflow status
* Notes
* Linked SOP version
* Evidence documents
* Audit history

The supported workflow is:

Planned → Assigned → Completed

Training records that pass their due date without being completed are automatically displayed as Overdue.

Training record
Each training record provides a consolidated view of the employee training activity.

The record displays:

* Training reference
* Training type
* Employee
* Provider
* Due date
* Completion date
* Training status
* Notes
* Linked SOP document
* SOP version

Available actions can include:

* Generate Training Record PDF
* Open the linked SOP
* Manage evidence documents
* View Audit Trail
* Modify the training record

Competency management
Competencies can be created independently from training records.

A competency definition can contain:

* Competency code
* Competency name
* Description
* Active / inactive status

Competencies can then be assigned to employees and used to evaluate qualification status.

Competency levels
For each competency assignment, the module supports a Required level and a Current level.

The module automatically determines whether the employee is qualified.

If:

Current level ≥ Required level

the competency is displayed as Qualified.

Otherwise, it is displayed as Not qualified.

The module can also detect expired competency qualifications based on the configured requalification date.

Competency Matrix
The Competency Matrix provides a consolidated view of employee competency status.

It can display:

* Employee
* Competency
* Required level
* Current level
* Qualification status
* Requalification date
* Linked training record

This allows managers and Quality teams to quickly identify qualified, unqualified and expired competencies.

SOP Retraining
Training & Competency Manager can optionally integrate with SOP Document Control Pro.

Training records can be linked to a controlled SOP document and to the exact SOP version on which the employee was trained.

When a newer SOP revision becomes Effective, the module can identify employees trained on an older SOP version and generate the required retraining records.

Only an Effective revision triggers automatic retraining.

Draft, Review or Approved revisions do not trigger retraining until the new revision becomes Effective.

The SOP Retraining page shows:

* SOP reference
* Tracked SOP version
* Effective SOP version
* Latest revision
* Retraining required status
* Number of affected trainings
* Number of affected employees

It also provides the history of automatically generated retraining records.

Automatic retraining traceability
When retraining is generated automatically, the module records the relationship between:

* Previous SOP version
* New effective SOP version
* Employee
* Original training
* Generated retraining record
* Date and time
* Audit Trail event

Duplicate retraining for the same employee and SOP revision is automatically prevented.

Email reminders
The module includes configurable automatic reminders for training and competency activities.

Supported reminder types include:

* Training due soon
* Overdue training
* Requalification due soon
* Expired competency

Reminder windows can be configured from the module Settings page.

Automatic delivery is performed through Dolibarr Scheduled Jobs.

The reminder system includes duplicate-send protection so the same notification is not repeatedly sent for the same record, state and relevant date.

The Email Reminders page displays:

* Pending reminders
* Reminder type
* Employee
* Record reference
* Due date
* Recipient
* Recent reminder history
* Delivery status

Audit Trail
Training & Competency Manager includes an immutable Audit Trail designed to provide historical traceability of important module actions.

Audit entries can include:

* Date and time
* User
* Object type
* Record reference
* Event
* Modified field
* Old value
* New value

Examples of recorded events include:

* Record creation
* Record updates
* Training workflow changes
* Competency assessments
* Qualification changes
* Requalification changes
* SOP revision retraining
* Evidence uploads
* Evidence removals
* Email reminder events

Audit Trail entries can be filtered by object type and event.

Evidence documents
Supporting evidence can be attached to training and competency records.

Typical evidence may include:

* Signed training records
* Assessment sheets
* Controlled documents
* Supporting PDF files
* Images
* Word documents
* Excel files
* CSV or text files

Supported file types include:

PDF, PNG, JPG, WEBP, DOC, DOCX, XLS, XLSX, CSV and TXT

The default maximum file size is 10 MB per file.

For each uploaded file, the module can record:

* Original file name
* Description
* File size
* Uploaded by
* Upload date
* SHA-256 checksum

The SHA-256 checksum provides an additional mechanism for verifying file integrity.

Competency assignment
A competency can be assigned to a specific employee.

Each assignment can include:

* Employee
* Competency
* Required level
* Current level
* Qualification status
* Qualification date
* Requalification date
* Linked training
* Notes
* Evidence documents
* Audit history

Qualification status is calculated automatically according to the required and current competency levels.

Training Record PDF
The module can generate a professional Training Record PDF for individual training records.

The PDF provides a printable representation of the training information stored in Dolibarr.

This functionality is intended for training documentation and recordkeeping.

Settings
The module Settings page provides an overview of the enabled functionality and allows administrators to configure the reminder system.

Available settings include:

* Automatic email reminders
* Training due-soon reminder window
* Requalification reminder window
* Email sender
* Scheduled reminder processing
* Test email recipient

The Settings page also indicates whether SOP Document Control Pro integration is available.

Scheduled Jobs
Automatic email reminder processing uses the standard Dolibarr Scheduled Jobs system.

The reminder job is designed to run once daily.

The Dolibarr cron service must therefore be correctly configured on the server.

The module includes protection against sending the same reminder repeatedly for the same object and reminder condition.

Installation
The module is installed using the standard Dolibarr external module procedure.

Installation steps
# Download the module archive.
# Copy or extract the trainingcompetency directory into the Dolibarr custom modules directory.
# Open Dolibarr.
# Go to Home → Setup → Modules/Applications.
# Find Training & Competency Manager.
# Activate the module.
# Configure the module from its Settings page.
# Configure Dolibarr Scheduled Jobs if automatic email reminders will be used.

Typical custom module location:

<pre>
htdocs/custom/trainingcompetency/
</pre>

or according to the custom module directory configured on the Dolibarr installation.

Upgrade to version 1.1.0
Version 1.1.0 introduces a regularized Dolibarr module ID.

The module ID is now:

<pre>
210136
</pre>

Permission IDs are:

<pre>
21013601
21013602
21013603
</pre>

When upgrading from version 1.0.0 to 1.1.0, it is recommended to:

# Replace the previous module files with version 1.1.0.
# Disable the module.
# Reactivate the module once so Dolibarr registers the new module and permission IDs.
# Verify permissions for users who use the module.

Existing training and competency data are preserved.

What's new in version 1.1.0
Version 1.1.0 introduces a major interface refresh and regularizes the Dolibarr module identifiers.

Main changes include:

* Module ID changed to 210136
* Permission IDs regularized to 21013601–21013603
* Improved desktop spacing
* Improved mobile layouts

The existing training, competency, SOP retraining, evidence and reminder workflows remain available.

Standalone operation
SOP Document Control Pro is optional.

Training & Competency Manager can operate as a standalone module for:

* Training management
* Competency management

Recommended use cases
Training & Competency Manager can be useful for:

Change Control Pro is a professional Change Control module for Dolibarr designed to manage the complete lifecycle of controlled changes.

The module provides a structured workflow covering change request creation, impact assessment, risk assessment, approval, implementation, effectiveness verification and controlled closure.

It is particularly suitable for organizations that need structured quality processes, traceability and accountability within Dolibarr.

Main Features
*Automatic Change Request references in the format CHG-YYYY-####

Version 1.1.3 introduces a redesigned and more responsive Change Control interface while preserving the complete workflow and auditability of previous releases.

Main improvements:

*Module ID updated to the reserved PanciucSoft ID 210135
*Redesigned dashboard with KPI cards and workflow overview

Upgrade from version 1.0.0
Because the module ID was changed to 210135, users upgrading from version 1.0.0 should:

#Deactivate the previous Change Control Pro module.
#Replace the module files with version 1.1.3.
#Reactivate Change Control Pro.
#Review permissions for non-administrator users if necessary.

Existing Change Control records remain stored in the same database tables.

Workflow
The standard workflow is:

Draft → Impact Assessment → Risk Assessment → Pending Approval → Approved → Implementation → Effectiveness Check → Closed

Each stage must be completed before the Change Request can proceed to the next stage.

A closed Change Request becomes read-only.

Creating and Tracking Change Requests
A new Change Request can be created directly from the Change Control Pro menu.

Each Change Request includes:

*Automatic reference
*Title
*Change type
*Priority
*Owner
*Target date
*Description
*Reason for change
*Current status
*Risk level

The reference is generated automatically using the format:

CHG-YYYY-####

The Change Request list provides search and filtering capabilities and gives users a quick overview of all active and completed changes.

Impact Assessment
The Impact Assessment stage identifies the elements that may be affected by the proposed change.

Supported impact types include:

*Document / SOP
*Product
*Specification
*Equipment
*Supplier
*Training
*CAPA / Deviation
*Software
*Other

Each Impact Item can contain:

*Impact type
*Affected item
*Assessment
*Responsible user
*Due date
*Status
*Comment / justification

Multiple Impact Items may be added to the same Change Request.

All required Impact Items must be completed before the workflow can proceed to the Risk Assessment stage.

Risk Assessment
The Risk Assessment stage evaluates the risk associated with the proposed change.

The module records:

*Risk description
*Severity
*Probability
*Detectability
*Risk score
*Risk level
*Mitigation / controls
*Responsible user
*Due date
*Status

The calculated risk score is based on:

Severity × Probability

Risk levels are classified automatically.

Typical ranges are:

*Low: 1–4
*Medium: 5–9
*High: 10–16
*Critical: 17–25

Detectability is recorded separately and is available as additional risk information.

The Risk Assessment must be completed before the Change Request can be submitted for approval.

Approval Workflow
After the Risk Assessment has been completed, the Change Request can be submitted for approval.

The approver can:

*Approve the change
*Reject the change
*Add an approval comment or justification

A rejection requires a justification.

Every decision is recorded in the Approval History with:

*Decision
*Approver
*Decision date
*Approval comment / justification

Approved Change Requests move to the Implementation stage.

Implementation / Action Plan
The Implementation / Action Plan allows users to define and track all activities required to implement the approved change.

Each implementation action includes:

*Action / task
*Responsible user
*Due date
*Status
*Completion date
*Evidence / result
*Comment

The module displays implementation progress automatically, for example:

0 / 1 actions completed – 0%

or:

1 / 1 actions completed – 100%

All implementation actions must be completed before the Effectiveness Check can begin.

Effectiveness Check
The Effectiveness Check verifies that the implemented change achieved the intended result.

The following information can be recorded:

*Effectiveness criteria
*Verification method
*Reviewer
*Planned review date
*Actual review date
*Result
*Evidence / observation
*Comment / conclusion

A typical result is:

Effective

A Change Request can only be closed after an Effective Effectiveness Check.

Once closed, the Change Request becomes read-only.

Audit Trail
Change Control Pro includes an automatic read-only Audit Trail.

Important activities are recorded automatically, including:

*Change Request creation
*Change Request update
*Impact Item creation
*Impact Item update
*Risk Assessment actions
*Approval decisions
*Implementation actions
*Effectiveness Check actions
*Workflow transitions
*Change Request closure
*Deleted records

Audit entries may contain:

*Change Request reference
*Event
*User
*Date / time
*Object
*Details
*Previous value
*New value

For important modifications, the module records both the previous and the new values to improve traceability.

The Audit Trail is read-only.

PDF Report
Change Control Pro can generate a complete PDF report for a Change Request.

The PDF report may contain:

*General information
*Impact Assessment
*Risk Assessment
*Approval History
*Implementation / Action Plan
*Effectiveness Check
*Audit Trail

The PDF can be used as part of the change documentation or quality records.

Permissions
Permissions can be assigned through the standard Dolibarr user and group permission system.

Depending on the assigned permissions, users may be allowed to:

*Read Change Requests
*Create or modify Change Requests
*Delete Change Requests
*Participate in workflow actions
*Approve or reject Change Requests
*View Audit Trail information

Administrators receive permissions automatically when the module is activated.

Permissions for other users or groups must be assigned manually when required.

Installation
1. Download the Change Control Pro ZIP package.
2. In Dolibarr, open:

Home → Setup → Modules / Applications → Deploy / Install external app/module

3. Upload the ZIP package.
4. Activate Change Control Pro.
5. Review the module permissions.
6. Grant permissions to the required users or groups.

No additional external service is required.

Configuration
After activation, the module is available from the Dolibarr menu.

Recommended configuration steps:

#Activate Change Control Pro.
#Review user and group permissions.
#Confirm that the required users can access the module.
#Create a test Change Request.
#Verify the complete workflow before using the module in production.

Mobile and Responsive Interface
Change Control Pro has been designed for use on both desktop and mobile devices.

The interface adapts to smaller screens and provides mobile-friendly cards for:

Training & Competency Manager is a Dolibarr module designed to manage employee training, competencies, qualification and requalification, SOP-based retraining, supporting evidence, audit trail and automatic email reminders.

The module provides a centralized and traceable solution for organizations that need to maintain structured employee training and competency records directly inside Dolibarr.

Features
*Employee training management
*Training workflow: Planned → Assigned → Completed
*Automatic overdue training detection
*Competency definitions and assignments
*Required and current competency levels
*Qualification and requalification tracking
*Automatic competency expiry detection
*Competency Matrix
*Supporting evidence documents
*SHA-256 checksum for uploaded evidence
*Complete Audit Trail
*Training Record PDF
*Automatic email reminders
*SOP revision retraining
*Optional integration with SOP Document Control Pro
*Responsive desktop and mobile interface
*English and Romanian languages

Dashboard
The dashboard provides a centralized overview of training activities and employee competency status.

It provides quick access to training records, competencies, qualification status, SOP retraining, email reminders and audit information.

Training Management
Training records can be created and managed directly from Dolibarr.

Each training record can contain information such as:

*Employee
*Training title
*Planned date
*Due date
*Completion date
*Training status
*Related competency
*Related SOP document and revision
*Supporting evidence
*Notes

The standard workflow is:

Planned → Assigned → Completed

Training records that pass their due date can automatically be identified as overdue.

Competency Management
Competencies can be defined and maintained directly inside the module.

Each competency can be used to define the qualification requirements associated with employees and training activities.

The module supports qualification, requalification and competency expiry management.

Competency Matrix
The Competency Matrix provides a consolidated view of employee competency status.

It can display:

*Employee
*Competency
*Required level
*Current level
*Qualification status
*Requalification date
*Linked training record

This provides a quick overview of qualified, not qualified and expired competencies.

SOP Retraining
Training & Competency Manager can optionally integrate with SOP Document Control Pro.

Training records can be linked to a specific SOP revision.

When a newer SOP revision becomes Effective, the module can identify employees trained on the previous revision and automatically generate the required retraining records.

Draft, Review or Approved revisions do not trigger retraining until the revision becomes Effective.

The retraining history provides traceability between:

*Previous SOP version
*New effective SOP version
*Employee
*Generated training record
*Date and time

Duplicate retraining for the same employee and SOP revision is prevented.

Evidence Documents
Supporting evidence can be attached to training records.

Examples include:

*Signed training records
*Assessment sheets
*Controlled documents
*Other supporting files

Uploaded evidence includes a SHA-256 checksum to support document traceability and integrity.

Evidence upload and removal actions are also recorded in the Audit Trail.

Email Reminders
The module provides automatic email reminders for upcoming or overdue activities.

The module also maintains reminder history and includes protection against duplicate notifications.

Audit Trail
Important module actions are recorded in an immutable Audit Trail.

The Audit Trail can include:

*Date and time
*User
*Object type
*Reference
*Event
*Field

Training & Competency Manager is a Dolibarr module designed to manage employee training, competencies, qualification and requalification, SOP-based retraining, supporting evidence, audit trail and automatic email reminders.

The module provides a centralized and traceable solution for organizations that need to maintain structured employee training and competency records directly inside Dolibarr.

Features
*Employee training management
*Training workflow: Planned → Assigned → Completed
*Automatic overdue training detection
*Competency definitions and assignments
*Required and current competency levels
*Qualification and requalification tracking
*Automatic competency expiry detection
*Competency Matrix
*Supporting evidence documents
*SHA-256 checksum for uploaded evidence
*Complete Audit Trail
*Training Record PDF
*Automatic email reminders
*SOP revision retraining
*Optional integration with SOP Document Control Pro
*Responsive desktop and mobile interface
*English and Romanian languages

Dashboard
The dashboard provides a centralized overview of training activities and employee competency status.

It provides quick access to training records, competencies, qualification status, SOP retraining, email reminders and audit information.

Training Management
Training records can be created and managed directly from Dolibarr.

Each training record can contain information such as:

*Employee
*Training title
*Planned date
*Due date
*Completion date
*Training status
*Related competency
*Related SOP document and revision
*Supporting evidence
*Notes

The standard workflow is:

Planned → Assigned → Completed

Training records that pass their due date can automatically be identified as overdue.

Competency Management
Competencies can be defined and maintained directly inside the module.

Each competency can be used to define the qualification requirements associated with employees and training activities.

The module supports qualification, requalification and competency expiry management.

Competency Matrix
The Competency Matrix provides a consolidated view of employee competency status.

It can display:

*Employee
*Competency
*Required level
*Current level
*Qualification status
*Requalification date
*Linked training record

This provides a quick overview of qualified, not qualified and expired competencies.

SOP Retraining
Training & Competency Manager can optionally integrate with SOP Document Control Pro.

Training records can be linked to a specific SOP revision.

When a newer SOP revision becomes Effective, the module can identify employees trained on the previous revision and automatically generate the required retraining records.

Draft, Review or Approved revisions do not trigger retraining until the revision becomes Effective.

The retraining history provides traceability between:

*Previous SOP version
*New effective SOP version
*Employee
*Generated training record
*Date and time

Duplicate retraining for the same employee and SOP revision is prevented.

Evidence Documents
Supporting evidence can be attached to training records.

Examples include:

*Signed training records
*Assessment sheets
*Controlled documents
*Other supporting files

Uploaded evidence includes a SHA-256 checksum to support document traceability and integrity.

Evidence upload and removal actions are also recorded in the Audit Trail.

Email Reminders
The module provides automatic email reminders for upcoming or overdue activities.

Reminders can be used for:

*Training due soon
*Overdue training
*Requalification due soon
*Expired competencies

Automatic processing uses Dolibarr Scheduled Jobs.

The module also maintains reminder history and includes protection against duplicate notifications.

Audit Trail
Important module actions are recorded in an immutable Audit Trail.

The Audit Trail can include:

*Date and time
*User
*Object type
*Reference
*Event
*Field
*Old value
*New value

This provides traceability for training, competency, evidence, SOP retraining and reminder activities.

Settings
Module functions can be reviewed from the Dolibarr administration interface.

Available module functions include:

*Training workflow
*Competency Matrix
*Requalification and expiry management
*Audit Trail
